Budget and Lease Terms
Price per square foot or a flat monthly rate only tells part of the story. Before you commit, get clear on:
- What’s actually included in the quoted price? Utilities, internet, cleaning, and parking are sometimes bundled in and sometimes billed separately.
- Are there setup fees, security deposits, or first and last month requirements?
- What’s the lease length, and what happens if you need to leave early?
- What happens when the agreement ends?
- Is there room to negotiate, or is the rate fixed?
A cheaper space with a bunch of hidden add-ons can end up costing more than a slightly pricier space that’s all-inclusive. Ask for the full breakdown in writing before you compare options.
Flexibility and Room to Grow
Most businesses don’t stay the same size for long, and your office shouldn’t lock you into last year’s headcount.
- Can you upsize or downsize your space as your team changes?
- What’s the process for adding more desks or a bigger office if you grow faster than expected?
- Is there a month-to-month option, or are you locked into a multi-year term?
- What happens if your team goes partially remote and you need less space than you signed up for?
If a provider can’t answer these clearly, that’s usually a sign the space wasn’t built with flexibility in mind.
Amenities and What’s Actually Included
Amenities are where the gap between the sales pitch and reality tends to show up.
- Is high-speed internet included, and is it reliable enough for video calls?
- Are conference rooms available, and do you get a set number of hours or is it unlimited?
- Is there printing, coffee, or kitchen access, and is it included or metered?
- What’s the furniture situation? Do you need to bring your own desk and chair, or is it move-in ready?
Walk through a normal workday in your head and check that each piece of that day is actually covered.
Location and Commute
A great office in the wrong location becomes an office nobody wants to come into.
- How’s the commute for the majority of your team, not just you?
- Is parking included, and is it actually available during peak hours?
- Is the space near restaurants, coffee shops, or things clients might want nearby for meetings?
- Is it accessible by public transit if that matters for your team?
This one seems obvious, but it’s the question most often decided by convenience instead of by actually checking commute times for everyone who’ll be working there.
Access and Security
You want to know exactly who can get into the building and when.
- Is access 24/7, or are there set hours?
- How does entry work? Keycard, code, app, front desk staff?
- Is the building monitored, and is there security on site or just cameras?
- Who else has access to your specific office or suite?
If your team works odd hours or you’re planning to be in on weekends, confirm this before signing rather than finding out the hard way.
Community and Culture
This one matters more than people expect, especially in a coworking or shared office setting.
- What other types of businesses are in the space?
- Is there any sense of community, events, or networking, or is it just desks and silence?
- Can you tour during business hours to see what the space actually feels like when it’s in use?
A space that fits your work style day to day is worth more than one that just looks good in photos.
Contract Fine Print
Last but definitely not least, read the actual agreement.
- What’s the cancellation policy, and are there penalties for ending early?
- Are there rent increases built into renewal terms, and by how much?
- What happens to your deposit if you leave?
- Who’s responsible for maintenance and repairs?
